Position Overview

We are seeking a highly organized, detail-oriented Scheduling Coordinator to manage complex caregiver and clinical schedules. This is a critical operations roleresponsible for ensuring full coverage, maintaining compliance, and delivering a seamless experience for clients and staff.

This position is best suited for someone who thrives under pressure, can make quick decisions, and takes ownership of outcomes.

Key Responsibilities

• Manage and coordinate schedules for caregivers and clinical staff (RNs, CNAs, etc.) to ensure 100% shift and visit coverage
• Proactively resolve scheduling gaps, call-offs, and last-minute changes with urgency and professionalism
• Match caregivers to clients based on skillset, availability, and personality fit
• Communicate clearly and consistently with caregivers, clients, and internal team members
• Maintain accurate schedules using scheduling/EVV software (e.g., KanTime or similar)
• Review care plans and service requirements to ensure proper staffing levels and compliance
• Monitor caregiver credentials and availability to maintain regulatory compliance
• Support onboarding and training of new caregivers on scheduling expectations
• Participate in on-call rotation (evenings/weekends as needed)

What We’re Looking For

We are specifically seeking candidates who demonstrate:

• Proven experience in scheduling, staffing, or coordination (healthcare strongly preferred)
• Ability to manage high-volume scheduling with frequent changes
• Strong problem-solving skills and the ability to make decisions quickly
• Excellent communication skills with a professional and confident demeanor
• High level of accountability and attention to detail
• Comfort working in a fast-paced, time-sensitive environment
• Strong computer skills and experience with scheduling or CRM systems

Preferred Qualifications

• Experience in home care, home health, or healthcare staffing
• Experience managing multi-shift or 24/7 scheduling environments
