Job Summary

The Billing Specialist will provide specialized support for the Accounting Department. It is critical to the business as the role ensures services are adequately and correctly billed timely per Company guidelines. This position cooperates and works with other departments and branches to accomplish timely and accurate billing and other accounting related tasks assigned.

Key Responsibilities

  • Manage and conduct data entry for all payer type billings for services including Private Pay, Medicaid, Northwest Senior & Disability Services (NWSDS), Long Term Care Insurance (LTCI), Providence Health & Services (PHS), Treasury Department/Veteran’s Affairs, and Oregon DHS/MMIS specific branches assigned.
  • Weekly billing of MMIS/Medicaid (MMIS).
  • Weekly billing of Long Term Care Insurance (LTCI).
  • Weekly billing of VA/Paradigm (VA).
  • Weekly billing of Private Pay Clients (PP).
  • Monthly billing of OPI Clients (OPI).
  • Weekly billing of ElderPlace Clients (EP).
  • Enter, process, and track Client authorizations with Medicaid Case Managers.
  • Prepare, print and mail Private Pay invoices weekly.
  • Support month-end and year-end close by ensuring all billing is done timely per Company guidelines and specific deadlines.
  • Coordinate with the proper team member concerning denials in order to promptly remedy and/or reprocess.
  • Performs other duties as assigned by supervisor.

Skills and Qualifications

  • Excellent verbal and written skills in English required.
  • Proficient in Excel, Microsoft Outlook, PowerPoint, and Word
  • Excellent attention to detail and ability to maintain accurate records.
  • Thorough knowledge of best practices for handling PHI as governed by HIPAA
  • Experience handling highly confidential and sensitive information.
  • Outstanding attention to detail, project management, documentation, organizational and planning skills.
  • Exceptional time management abilities to meet deadlines and manage multiple tasks simultaneously.
  • Problem-solving and analytical skills to navigate complex payment discrepancies.
  • Proficiency in data analysis and report generation.
  • A solid understanding of industry regulations and compliance.
  • Must have excellent Excel skills including formulas, pivot tables, exporting, and importing data.
  • Must have excellent reconciliation and analytical skills.
  • Must have track record of taking initiative and being pro-active in producing quality accounting solutions under time constraints.

Education and Experience

  • Education – an associate’s degree in accounting, finance, or related field preferred
  • Experience – a minimum of 2 years of accounting experience

Working Conditions

  • Most work is performed in a general office environment. Exposure to low to moderate levels of noise in a well-lit, well-ventilated, and fast paced environment.
  • Requires manual/finger dexterity as necessary to perform daily job duties.
  • Occasionally required to reach with hands and arms; lift, push, pull and/or carry objects up to 35 lbs.
  • Frequently required to sit for extended periods of time - at a desk and working on a computer.
  • Frequent and/or continuous talking.
  • Prolonged periods of standing and moving.
  • Must be able to lift up to 50 pounds at times with or without assistance.

Work Hours: Monday – Friday, 8am – 5pm

Supervisory Responsibilities: No

Required Travel: Up to 20%
