Job Summary

Scheduling Coordinator is responsible for supporting branch offices by fulfilling and managing Caregiver schedules during regular business hours. This role ensures complete utilization of authorized Client service hours, oversees Caregiver time off and scheduling requests, and manages call-outs, and incident tracking. The Scheduling Coordinator maintains timely and effective communication with designated branch points of contact to ensure all scheduling needs are met. While the position primarily operates during standard business hours, it will also occasionally provide support during evenings, weekends, and/or holidays to ensure uninterrupted service coverage.

Key Responsibilities

  • Ensure zero open hours by creating, managing, and adjusting Caregiver schedules (daily, monthly, training, and new assignments).
  • Coordinate schedules around Client admissions, discharges, and changes in authorized hours.
  • Maximize authorized Client hours while minimizing overtime.
  • Manage and document Caregiver time off requests, incidents, and missed clock-ins/clock-outs.
  • Record and update all Client/Caregiver shift or activity changes in the healthcare management platform.
  • Ensure all shifts are filled, troubleshooting schedule gaps proactively.
  • Support customer service needs for both Clients and Caregivers, resolving issues promptly.
  • Respond to the on-call emergency line during weekends, holidays, and after hours as needed.

Education and Experience

  • At least 1 year of scheduling experience
  • Experience utilizing an electronic scheduling platform; AxisCare preferred
  • Experience in home care, healthcare, or a related service-based industry preferred
  • High School Diploma or equivalent required.

Working Conditions

  • Ability to remain in a stationary position for extended periods (office environment)
  • Ability to operate standard office equipment or tools required for the position

Work Location: Remote in OR, AZ or ID, or in one of our Oregon Branches

Work Hours: Monday – Friday, 8am – 5pm

Supervisory Responsibilities: No

Required Travel: Minimal
