We are seeking a Care Services Support Specialist – Administrative & Home Health Aide to join our team. This unique position combines office-based administrative support with hands-on client care, making it an excellent opportunity for an experienced Home Health Aide who enjoys both working with clients and supporting the operations of a home care agency.

The ideal candidate is organized, dependable, professional, comfortable working in a fast-paced healthcare environment, and willing to step into client care when staffing needs arise.

Position Summary

The Care Services Support Specialist will provide administrative and operational support to the agency while maintaining the ability to work directly with clients as a Home Health Aide.

This is a working support position. The employee should expect to assist with office responsibilities during assigned administrative hours and be available to work HHA shifts based on client and staffing needs.

The position is designed to provide additional operational support to the agency while also creating a dependable resource for covering open shifts, call-offs, new client starts, and other staffing needs.

Administrative Responsibilities

Administrative responsibilities may include, but are not limited to:

  • Assist with daily office operations and administrative tasks.
  • Answer incoming phone calls and assist clients, caregivers, families, referral sources, and healthcare professionals.
  • Assist with scheduling and coordination of caregiver shifts.
  • Help identify and communicate staffing gaps and open shifts.
  • Assist with confirming caregiver schedules and client visits.
  • Communicate schedule changes and call-offs to appropriate team members.
  • Assist with client and caregiver communication.
  • Maintain accurate documentation and records.
  • Assist with reviewing timesheets, visit documentation, and other required paperwork.
  • Assist with electronic documentation and agency systems.
  • Help maintain organized client and employee files.
  • Assist with onboarding and orientation activities when appropriate.
  • Support recruiting activities, including contacting applicants and assisting with interview scheduling.
  • Assist with obtaining and maintaining required employee documentation.
  • Support quality assurance and compliance activities.
  • Assist clinical and operations leadership with special projects.
  • Provide general administrative support to the office and operations team.
  • Perform other duties as assigned.

Home Health Aide Responsibilities

When assigned to a client shift, the employee will function as a Home Health Aide and provide services within the scope of their training, competency, and applicable Indiana requirements.

Responsibilities may include:

  • Provide compassionate, reliable, and respectful care to clients in their homes.
  • Assist clients with activities of daily living (ADLs), as authorized and within the employee's scope of practice.
  • Assist with bathing, grooming, dressing, toileting, and personal hygiene.
  • Assist with mobility, transfers, positioning, and ambulation as trained and appropriate.
  • Assist with meal preparation and feeding when authorized.
  • Provide light housekeeping related to the client's care.
  • Assist with laundry and maintaining a safe client environment.
  • Provide companionship and appropriate social support.
  • Follow the client's plan of care and agency instructions.
  • Observe and report changes in the client's condition to the appropriate supervisor.
  • Complete all required visit documentation accurately and timely.
  • Maintain professional boundaries and client confidentiality.
  • Follow all BrightStar Care policies and procedures.
  • Follow infection-control, safety, and emergency procedures.
  • Communicate professionally with clients, families, caregivers, nurses, and agency leadership.
  • Provide dependable coverage for open shifts, call-offs, new client starts, and other staffing needs when assigned.

HHA Shift Expectations

Because this is a hybrid position, the employee must be willing to work direct-care shifts when needed.

The HHA component of the position may include:

  • Covering caregiver call-offs.
  • Filling open or hard-to-staff shifts.
  • Supporting new client starts.
  • Providing temporary coverage while a permanent caregiver is recruited.
  • Working weekends or evenings when operationally necessary.
  • Accepting additional client shifts when available and mutually agreed upon.
  • Traveling to clients throughout the agency's service area.

This position is not an office-only position. The ability and willingness to provide hands-on HHA services is an essential function of the role.

Administrative and field responsibilities may vary from week to week based on agency and client needs.

Qualifications

Required:

  • Current and valid Indiana Home Health Aide certification/credential as applicable to the position.
  • Ability to meet BrightStar Care's employment and caregiver requirements.
  • Reliable transportation to travel to client homes.
  • Valid driver's license and required auto insurance.
  • Ability to pass required background checks and screenings.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Ability to use a computer, smartphone, and electronic documentation systems.
  • Ability to perform the physical requirements associated with providing home care services.
  • Strong attendance and reliability.
  • Professional communication and interpersonal skills.

Preferred:

  • Previous home health or home care experience.
  • Previous administrative or office experience.
  • Experience with scheduling or staffing.
  • Experience working with electronic medical records or home care software.
  • Experience working with Medicaid, Medicare, VA, or private-pay clients.
  • CNA, HHA, PCA, or other relevant healthcare experience.
  • Experience working in a healthcare office or home health agency.

Pay & Benefits

Pay Rate: $17.00 per hour
