The Role

We're looking for an Office Coordinator who wants to be the operational backbone of our Catawba Valley office. This is not a "keep the lights on" job. You'll be the connective tissue between our Administrative Coordinator, Scheduler, and Recruitment Coordinator — keeping workflows on track, holding the team accountable, and jumping in wherever the work needs you.

This is a hands-on role. You'll answer phones, work with clients and families, manage systems, audit records, and surface problems before they become crises. If you're looking for a role where you manage from a distance, this isn't it.

What You'll Do

Client Communication

• Answer inbound calls from prospective clients, families, and referral sources — everyone on our team answers the phone.

• Qualify prospective clients, present our services and pricing, and hand off smoothly to the care coordination team.

• Serve as a point of escalation for client concerns that need operational judgment.

• Ensure call log documentation is current, accurate, and closed out properly at every stage.

Operations & Systems

• Own systems across industry-specific software platforms — and be the go-to resource when something isn't working.

• Oversee client and caregiver record audits on a weekly and monthly basis.

• Monitor the active prospect, client, and applicant database and flag gaps to leadership.

• Ensure every workflow follows our SOPs — no shortcuts, no workarounds.

Team Oversight & Accountability

• Participate in hiring decisions alongside the Recruitment Coordinator.

• Serve as backup for orientation, compliance audits, LTC billing, and payroll when needed.

• Prepare weekly operational updates for the Head of Operations.

• Identify process gaps and bring solutions — not just problems.

What We're Looking For

• 3+ years in operations, office management, or healthcare administration. Home care experience is a strong plus.

• Hands-on experience with a home care or healthcare scheduling platform (AxisCare preferred).

• A geeky attitude toward technology and evolving platforms — you enjoy learning new systems and figuring things out.

• Organized to a fault — you track your open items, you follow through, and you don't let things fall through the cracks.

• Clear, direct communicator — in writing and in person. You can hold a tough conversation without losing the relationship.

• High personal accountability. If you opened it, you own it until it's closed.

• Calm under pressure, adaptable, and professional in how you show up every day.

• Valid driver's license and reliable transportation required.

• Must be legally authorized to work in the United States.
